Job Summary

Work with programs to help manage invoices. Record keeping of inventory of what is needed and what is in stock. Go through mail delivered from USPS. Receive and log in packages delivered via FEDEX, UPS, Prime, etc.

Core Work Activities


Maintain building records including invoices and contracts.

  • Research and purchase parts for department, by phone or internet and assist in tracking all special projects cost to stay within an assigned budget
  • Maintain and update changes in record books for buildings as new renovations are done

Create and close work orders

  • Create preventive maintenance records to generate on a define timeline for all equipment and buildings in a timely fashion.
  • Create and assign work orders on a daily basis
  • Track and make sure work orders are completed and closed in a timely manner

Sending, Receiving and logging all deliveries

  • Check and fill out proper forms for guests packages that arrive by Federal Express, UPS, USPS, etc. to ensure proper tracking for all guest
  • Check and sign in deliveries for all departments

Candidate Profile

  • Must have computer knowledge to include Micro Soft and Excel
  • Willing and able to multi-task, handling several situations at once.
  • Have prior knowledge of some accounting procedures
  • Have at least one year experience as an Office Manager or Assistant.
