The mission of the Alameda County Deputy Sheriffs’ Activities League (DSAL) is to unite the Sheriff’s Office personnel, citizens, and youth of Alameda County in the pursuit and implementation of initiatives that will reduce crime, better the lives of area residents and enhance the community through action and collaboration with its partners.

Job Summary

The purpose of the Admin Assistant position is to make sure that DDF Food Hub is running as well as it possibly can, with a smooth and efficient operation that meets the expectations and needs of participants, customers and partners. The Admin will assist all departments of the Food Hub with their daily operations and support the entire team with administrative tasks such as scheduling, calls and inventory.

Food Hub Admin Assistant Goals

To do daily
  • Monitor & maintain Food Hub main line
  • Monitor and respond to text and call inquiries
  • Food Corridor - Acct. management
  • Planning Tours
  • Daily Kitchen Logs
  • Volunteer Onboarding and log management
  • Meeting scheduling and minutes
  • Photos daily and during events for quarterly reports and social media
  • Receive and store all deliveries, insure all packages make it to the correct team member
  • Maintain/sanitize all staff used areas (Bathroom’s/Break Area)
    • Restock all offices, break area, bathroom, etc. supplies (as needed daily)

To do weekly
  • Print materials - Recipe 4 Health recipes, posters, brochures, door hangers, logs etc.
  • Help Food Hub Staff maintain/create manuals, flyers, FAQ’s, etc.
  • Inventory: managing recurring orders and one time requests from all Food Hub Departments
  • Collect all receipts from staff and send all receipts to the accounting team
  • Monitor schedules for the kitchen and check that all check ins and outs align with Food Corridor booking schedule

To do as needed
  • Conduct any needed research on needed programs, companies, software, etc.
  • Under the direction of management, create/administer food safety training as needed as well as ergonomic safety practices when there are opportunities to improve the working environment within the hub.
  • Collect employment and benefits paperwork for DDF Food Hub staff/drivers under the supervision/instruction of the DDF Food Hub Director and Operations Director
  • Assist management of on-site resources (trucks/vans, equipment, kitchen inventory, computers, custodial supplies, etc)
  • Facilitate and demonstrate good communication between all DDF Food Hub team members
  • Ensure that permits (internal and for food vendors) are up to date by keeping a permits calendar
  • Update the operations manual whenever policies/procedures are developed or changed, and keep clear records of all operations in the DSAL Drive

Location

This position will primarily be based at the Food Hub (2700 Fairmont Dr San Leandro, CA 94578)

Type of Employment

This position is a full time hourly position at 40 hours per week at $24 per hour.


This position includes the following benefits:
  • Full time employees accrue vacation according to the following schedule, up to a maximum of six paid weeks:
    • 6.67 hours per month or 10 days = 0 -1 year
    • 10 hours per month or 15 days per year = >1 to <5 years
    • 13.33 hours per month or 20 days per year = >5 years
  • Group health insurance plan: DSAL pays 100% of the value of the Kaiser Silver medical/dental plan. Kaiser Gold and Platinum are also available, and employees pay the difference in price.
  • Cell phone usage reimbursement: $25/pay period for staff who use their cell phones regularly for work
  • Non-matching 401K to allow employees to save for retirement pre-tax
