POSITION SUMMARY:
The Grant Administrator I – Independent Project Consultant (GA I-IPC) position offers a great opportunity for someone interested in pursuing a career in Research Administration. This opportunity will help you gain grant lifecycle knowledge and expand your professional development, by exposing you to various assignments across MGB Research Management and MBG entities. The RSS Team provides consulting support services for special projects, oversight of complex programs, assisting with high volume workload periods, filling gaps due to vacancies, or providing specific in-depth training. The mission of the RSS Team includes proactively addressing the demands of grant administration across MGB entities and external institutions, by providing exceptional customer service to distinguished research investigators and collaborators in their pioneering efforts in science and medicine.

Work responsibilities, as well as learning opportunities, will vary across the spectrum of research administration based on the assignment. The individual may be engaged in multiple obligations, including both short-term and long-term consulting commitments across MGB entities and external clients. Assignments may include, but not limited to proposal preparation, post-award management, financial analysis, contracts and process improvement. You may be the primary point of contact for Principal Investigators and Department Administrators at the MGB Entities and/or may work alongside other Department Administrators.
In most cases, client assignments are managed and performed 100% remotely, rather than at the client’s location.

PRINCIPAL DUTIES AND RESPONSIBILITIES:
As a new member of the RSS team you will be required to:
  • Complete all the necessary trainings required and recommend by the RSS Team Lead.
  • Work with RSS team members/mentors to assist with Pre-Award, Post-Award, Contracts and Finance assignments.
  • Become familiar with the grant management system (Insight).
  • Become familiar with the NIH Grant Policy Statement, standard federal grant regulations, as well as Mass General Brigham policies and standard operating procedures.
  • Research and answer inquiries from Department Administrators and PIs, and communicate institutional policy, procedure and documentation requirements.
  • Transition to an independent RSS Grant Specialist with minimal supervision. (usual with 3 a month period).

Key responsibilities include, but not limited to:
  • Act as an RSS floater, when needed to assist Research Management teams with Pre-Award, Post-Award, Contracting and Financial activities.
  • Assist RSS team members with overflow assignments, when needed.
  • Independently take on MGB Entities and external client assignments with minimal supervision from the Team Lead.
  • Build solid relationships with hospital Department Administrators during assignments.
  • Act as a point of contact between the Principle Investigators, Department Administrators and Research Management teams.
  • Provide training to client when needed.
  • Participate in the Research Management Training program, acting as a trainer, when needed.
Key activities may include:
  • Correspond directly with the sponsor’s representative in order to resolve compliance and budgetary questions.
  • Perform reviews and negotiation of terms and conditions for FDP templated for incoming/outgoing subawards and foundation awards.
  • Outreach to sponsors and collaborators to follow up on contract status.
  • Proposal development, JIT, Progress Reporting, award acceptance and setup, financial reporting and FSR reporting, project management and other related tasks with the grant lifecycle.
  • Use Financial Management System, PeopleSoft queries, and MicroStrategy reports to measure and manage workflow effectively and efficiently.
  • Field client inquiries and communicate on institutional policy, procedure and documentation.
  • Perform other grant related activities when needed.

QUALIFICATIONS:
  • Bachelor’s Degree preferred, but not required.
SKILLS/ABILITIES/COMPETENCIES:
  • Must be a self-starter, highly motivated individual.
  • Experience in dealing with multiple personality types with a focus on providing outstanding customer service.
  • Must possess the ability to thrive in a busy, high-volume, and deadline driven team environment that requires coordination of multiple activities and the judgment and flexibility to reprioritize tasks as needed.
  • Detail Oriented with excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite, with general knowledge of MS Excel. MS PowerPoint experience a plus.
  • Excellent problem-solving skills.
  • Presentation experience a plus.
