SUMMARY
Coordinates all IT projects and ensures company resources are utilized appropriately. Compile project status reports, coordinate project schedules, and manage project meetings. Act as lead to the IT Help Desk Coordinator and first point of contact for the IT Department.


Job Description:

ESSENTIAL DUTIES AND RESPONSIBILITIES

Project Coordinator duties:

  • Ability to plan, develop, implement, and coordinate multiple project teams through all aspects of the project lifecycle from initiation to close.
  • Works closely and collaboratively with key stakeholders, leadership, and other related staff to define project objectives and scope, strategy, schedule, budget, procedures, and outcomes during various phases of the project life cycle.
  • Coordinate the roll-out of pre-production and production releases.
  • Coordinate and measure project performance to identify areas for improvement.
  • Prepares and maintains project status reports; tracks milestones/deliverables, risks, develop roadmaps and iterative project plans; resets expectations as needed in consideration of project progress/outcomes; and ensures timely dissemination of information to all interested parties.
  • Monitor budgetary spending and keep spending in line with the project budget.
  • Utilize industry best practices, techniques, and standards throughout the project.
  • Audit vendor invoices against agreements to confirm compliance with agreements.
  • Assumes, coordinates, and manages other duties or projects as assigned.
  • Assist with the creation of procedural documentation for the IT Department.
  • Keep IT Department KB database up to date, accurate and appropriate files up to date.

IT Helpdesk service desk duties:

  • Act as:
    • Lead to IT Helpdesk Coordinator
    • IT Department SharePoint Administrator
    • Trainer for IT related systems
  • First-level problem identification and resolution resource, including answering questions, providing advice, troubleshooting, and follow-up to assist users in solving computer, printer, or data processing problems.
  • Provide continuous status information to ensure customer satisfaction
  • Assist vendors with MSA processing and compliance
  • Schedule with vendors the delivery of equipment and services
  • Assist IT Director with creating and pulling reports from KACE
  • Contract Management for IT related equipment and services
  • Helps to enforce the internal procedures for the IT Department
  • Manage software license tracking, compliance, and audits.
  • Manage hardware and software asset life cycles
  • Managing work orders with vendors
  • Manage and keep current knowledge base articles, IT related documents, and forms
  • Manage IT Helpdesk tickets to ensure balanced workloads, escalation, and closure
  • Manage Log help desk calls and assign to the best qualified and available technician
  • Manage and Review invoices for accuracy and code to the appropriate GL code
  • Ensures compliance with Manson’s Code of Ethics and Standards of Business Conduct.
  • Maintain a high standard of ethical behavior, encourages ethical behavior in others, support ethical decisions, and actively seek appropriate resolution to potential ethical conflicts.
  • Responsible for practicing safe work standards and promoting an Incident and Injury Free (IIF) work environment as a condition of employment.

SUPERVISORY RESPONSIBILITIES

  • Supervises IT Help Desk Coordinator.
Qualifications:

QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and ability required.

EDUCATION AND EXPERIENCE

  • Bachelor’s Degree preferred but not required.
  • Must obtain PMP Certification within 12 months of start date.
  • 2 years of experience in project management including coordinating teams, creating project schedules, establishing priorities, assigning tasks, tracking milestones, meeting deadlines, solving problems, monitoring budgets, and preparing project status reports.
  • Extensive experience managing technical projects, both infrastructure as well as software deployments.
  • Procurement and Budgeting experience preferred, but not required.
  • Experience in establishing and maintaining strong, effective, and collaborative working relationships with diverse stakeholders.
  • Ability to work under pressure, coordinate multiple projects and aggressively pursue deadlines independently.
  • Evidence of taking action to mitigate risks, handle issues, and resolve conflict.
  • Excellent verbal and electronic communication skills with an emphasis on customer service.
  • KACE or other ticketing systems.
  • SharePoint

Certifications desired:

  • CompTIA A+ or CompTIA Fundamentals
  • PMP or CAMP

COMPUTER SKILLS:

  • Knowledge of Microsoft Office Suite.
  • Project management tools.
  • Adobe Acrobat (Professional) and SharePoint strongly preferred

PHYSICAL DEMANDS
Position is primarily an office position, performs work at a desk. The employee is frequently required to sit for extended periods of time. The employee is occasionally required to stand, walk, use stairs, ladders, and step stools and reach with hands and arms. The employee must frequently lift and/or move up to 10 pounds and may occasionally lift and/or move up to 25 pounds. Employee must be able to wear the personal protective equipment (PPE) in order to conduct job site visits (hard hats, personal floatation devices, safety glasses, gloves, safety-toed shoes, respirators, etc.), and able to navigate stairs, ladders and gangways, board, work on and disembark floating vessels and structures.
