Our small, dynamic, growing landscape maintenance company based out of Rolla is growing and in need of a full time Office Administrative Assistant to support our organization.

This position is an integral part of our small team, and we are looking for someone with the drive and passion for doing great work that matches our own. We are looking for someone who can make the same long-term commitment with us that we will make with them. This is a full-time position, Monday -- Friday. Note: We will consider a part time applicant as well, with reduced responsibilities. Please specify if this is your preference in your response.

Duties and Responsibilities

  • Provide operational support for the owner and management team.
  • Help with our recruitment and on-boarding of new hires. Create and monitor job ads and follow up with potential new recruits so our team can grow and flourish. Schedule and perform 1st round interviews and background checks on recruits, schedule 2nd round interviews and assist in deciding on the best recruits. This is a core part of the day to day in the Spring season.
  • Administration support for the office. Maintain corporate calendar, schedule meetings, cover phones, order supplies and equipment as needed and cleanliness of office. Ensure filing systems are maintained and current. Ensure security, integrity, and confidentiality of data.
  • Monitor and manage incoming calls and client service inquires. Maintain & update lead/client data using service software database.
  • Respond promptly to customer needs. Frequent, effective, professional, and timely communication with customers regarding complaints, scheduling, cancellations, estimates, payments, billing, and up-sell services or any other questions. Follow up on sent estimates and convert leads to customers.
  • Creating and implementing budgets for all accounts including amounts for work to be billed in addition to the maintenance contract by verifying service records in our routing software.
  • Help cultivate company’s core client standards. Maintain a meaningful relationship with clients to promote loyalty and future sales. Identify the clients' needs to ensure that our high standards of customer service are met.

Key Attributes of a Successful Candidate Include:

  • 1-2 years minimum administrative experience.
  • 1-2 years experience with QuickBooks Desktop
  • 1-2 years minimum experience with Microsoft Office Suite, specifically excel.
  • Must be able to use Windows computers.
  • Must be well spoken, patient, and comfortable making calls to past due accounts.
  • Need to be able to adjust quickly to the change of pace during the busy landscape season.
  • Strong attention to detail including good analytical and organizational skills.
  • Ability to find potential issues ahead of time and be able to problem solve.
  • Administrative experience in Landscape or Construction environment preferred.

Physical Requirements:

  • Able to sit, type, and perform computer work for long periods of time.
  • Frequent use of hands and fingers for computer entry.
  • Able to talk, hear, stand, and walk.
  • Able to perform occasional bending, lifting, and reaching.

Job Types: Full-time, Part-time

Pay: $15.00 - $18.00 per hour
