General Purpose:
The Practice Support Project Manager will provide front-line practice group operational support to the PGL(s) through assuming operational and analyst functions in coordination with the PGL(s). Such functions include intra- and inter-practice group meeting and strategic planning, evaluation and reporting to the PGL of group and individual attorney productivity and performance, workflow collection, assisting with new attorney onboarding, and overseeing and promoting innovation, technology and practice enhancements for the Practice. The project manager will also partner with professional development and recruiting, support business development and marketing initiatives (including market specific intelligence), including coordination of the same with firm initiatives, and support the firm’s diversity plan.

Essential Duties/Responsibilities:

  • Prepare and analyze (as required) practice group performance reports for PGL review and distribution.
  • Advise on data and results to best promote and assist with client development and strategic goals.
  • Update group strategic plan and progress management as directed by the PGL, ensuring deliverables are communicated, and provide support for them, as needed, throughout the year.
  • Schedule, facilitate and coordinate inter-practice and cross-practice group strategic meetings. Collaborate with client services to organize, plan, and coordinate logistics for practice group events, meetings and retreats.
  • Assist with strengthening and deepening client relationships and teams though effective and timely communication and management of deliverables requested by PGL.
  • Collaborate with recruitment team on the onboarding of new attorney and paralegal hires; support practice group integration efforts for both new and existing attorneys, assuring a smooth new hire transition into the practice group.
  • In coordination with professional development, support and help to drive group training, mentoring and continuing education programs, including development and delivery of new programs within the firm.
  • Assist with group workflow and workload management.
  • Facilitate communication between practice groups, industry groups, individual offices and other firm leaders as requested by PGL. Assist PGL with content at drafting of practice group business updates and other practice group communications.
  • Manage PGL page and Practice Group pages and resources on The Hub to ensure appropriate information is available and updated and facilitate access to that information by members of the practice group. Support client service initiatives, feedback and efficiency/innovation efforts.
  • Work with marketing to assist with budgeting and expense approvals and tracking.
  • Support group diversity plan and education by driving diversity initiatives, supporting and advocating diversity education, and demonstrating a strong professional commitment to diversity.
  • Collaborate with Practice Support Director to identify and implement technology and tools to improve practice group efficiencies.
  • Prepare needs memos for practice group new hires, including attorneys, paralegals, and specialist roles.
  • Develop, coordinate, execute on, track, and report on the status of projects and operational initiatives, along with the evaluation, implementation and use of new technologies and procedures.
  • Optimize and evolve performance status reports, related data, and additional feedback mechanisms to foster transparency, excitement, and growth.
  • Follow-up with leadership to track performance requirements, provide ad hoc data reviews/reports to support these efforts, enforce the use of professional development plans, and associated goals, etc.
  • Work with PGL to provide and implement strategies for internal growth and optimization initiatives, such as with organizational structure, leadership meetings, etc.
  • Perform other operations functions in coordination with the PGL.

Job Qualifications (Education, Experience and Certification):

  • 3 – 5 years’ experience in law firm administrative support and management.
  • Experience in the development of collaborative working structures.
  • Innovative and creative problem-solving skills.
  • Excellent communication skills and strategies, with patient ability to remind and encourage engagement by members of the Practice Group.
  • Extremely organized with attention to detail and follow-through.
  • Familiarity with basic financial reporting for law practice (hourly and revenue results).
  • Works efficiently, using available technology and striving to make tasks easier and to require less involvement with PGL leadership.
  • Critical thinker with strong attention to detail.
  • Bachelor’s Degree in marketing, business or communications preferred.

Physical Requirements:
While performing the duties of this position, the employee must have the ability to sit, stand and/or walk for extended periods of time; manipulate (lift, carry, move) weights of at least twenty-five (25) pounds; have repetitive wrist/hand/finger movement to work on a computer and/or related office equipment; speak clearly and concisely so listeners can understand; and regularly understand the speech of another person.
