The Mail Clerk/Receptionist provides exceptional concierge service, delivering operational functions in the following areas: processing of inbound/outbound mail, distribution/delivery of mail, ships and receives product and supplies to support onsite business service center, and supports the reception team with service excellence in all guest functions. Maintains a professional image of the company by providing prompt, courteous and efficient service.

Key Responsibilities:

  • Provides 'best in class' service to all employees and visitors (in all forms of communication).
  • Performs duties associated with shipping and receiving of materials.
  • Receives inbound mail/packages and sorts incoming mail.
  • Enters inbound mail/packages into chain of custody software package.
  • Notifies employees upon receipt of inbound deliveries.
  • Distributes mail/packages to company personnel.
  • Manages outgoing mail/package transactions.
  • Point of contact for company personnel on mail/package inquiries.
  • Provides reception support for covering desks, checking in guests, and completing all mandatory health and safety processes as needed by management.
  • Responsible for assisting to train new joiners and providing guidance on policies and procedures.
  • Builds professional relationships with clients, vendors and other teams.
  • Maintains the mailroom and reception areas in a neat and orderly fashion.
  • Maintains professionalism and composure when interacting with all employees.
  • Strategically determines what additional support is needed when handling sensitive inquiries and escalating to management when necessary.
  • May perform meeting room and conference room set ups.
  • May perform building occupant moves within assigned facilities.
  • May perform light maintenance and cleaning duties as assigned.
  • Proactively seeks out additional work during downtime.

  • PC skills – MS Office Suite experience
  • Ability to handle multiple tasks simultaneously
  • Good organizational skills
  • Working knowledge of MFD equipment
  • Requires knowledge and understanding of shipping/receiving procedures and ability to comprehend instructions
  • Possesses ability to work independently and capable of completing projects
  • Ability to determine correct method and packing material as well as validate packing slips for accuracy of incoming and outgoing materials.

Qualifications:

  • Requires high school diploma
  • +2 years prior work experience in a mail clerk role preferred
  • Must be flexible to work hours between 7:00 am and 5:00 pm (full time – 8 hour shifts)

Physical Demands:

  • Fine and/or gross motor skills, including the ability to grasp, lift and/or carry or otherwise move packages on a standard wheeled cart with a load capacity of 60 lbs.
  • Ability to walk, bend, kneel, stand, and/or sit for an extended period of time.
  • Manual dexterity required for operating office machinery (phone, copy machines, binding equipment, etc.)
  • Ability to lift or move 40 lbs. or greater frequently.
