The primary role of the office clerk is to assist their assigned paralegal and attorney(s) with any administrative or clerical tasks needed to help facilitate the progress of each case. Additionally, the office clerk will assist the firm with any administrative and clerical tasks needed, including, but not limited to, front desk assistance, errands, and answering the Firm’s main phone line.

RESPONSIBILITIES:

Perform all primary responsibilities of the role:

  • Requesting, redacting, saving, compiling, and drafting documents for review and approval (by paralegal or attorney)
  • Complete all tasks given by the manager, attorney, and paralegal in a timely manner
  • Open and update information in company’s Database
  • Create, distribute and follow-up on retainers for new clients
  • Ensure all documents are saved to the client data (udrive) folder for the respective client when received
  • Assist the paralegal with drafting of all documents including but not limited to: retainers; stipulation worksheets; You Won letters; Authorization to Accept Settlement; Notice of Claims; General releases and IHR draft; Ten-day notices draft and Pendency Forms; Assignment letters; Loan documents; etc.)
  • Gather and organize settlement packages to the New York City Department of Education (DOE), Office of Legal Services (OLS), Bureau of Non-Public School Payables (NPSP), and Impartial Hearing Office Implementation Unit (IHOIU)
  • Maintain, track and update Excel spreadsheets
  • Request documents from the clients and/or schools
  • Prepare initial, mid-year and end-of-year reports and follow-up on outstanding documents
  • Open new cases in Access
  • Download and save documents from other databases (e.g., Smartsheet, Power BI)
  • Save, forward, and track pendency orders
  • Assist the paralegal with organizing and compiling disclosure packet o Review stipulation and prepare stipulation worksheet
  • Prepare stipulation of settlement to be forwarded to the client and/or OLS
  • Maintain file system to ensure that it’s accessible to everyone
  • Save and/or review transcripts
  • Provide monthly reports to the assigned team

EXPERIENCE AND EDUCATION REQUIREMENTS:

  • High school diploma or GED required; college degree preferred
  • Minimum of two years’ work experience

REQUIRED SKILLS:

  • Proficient in Microsoft Office and Adobe Acrobat
  • Strong written and verbal communication skills to effectively communicate with various stakeholders, including clients and agencies
  • High attention to detail and the ability to adhere to the firm’s procedures and guidelines
  • Efficient and effective in multitasking and prioritizing projects/tasks

Job Type: Full-time

Pay: $20.00 - $23.00 per hour
