Job Description

Provide high level confidential and responsible administrative, clerical and secretarial support for the New Haven Claims staff and Division Manager which is responsible for administering CTtransit’s self-insured accident liability program. Position is also responsible for screening, retrieving and reproducing video media in addition to general administrative and clerical duties.

Schedule: TBD up to 29.5 hours weekly.

Note: All CTtransit employees are required to be fully vaccinated against COVID-19 and demonstrate at appropriate intervals, that they have received all subsequent doses (“boosters”) of the COVID-19 vaccine as recommended by the CDC’s Advisory Council on Immunization Practices as those recommendations may be updated.

Examples of Duties

  • Provides secretarial and administrative duties including typing of letters, memoranda and reports.
  • Sets up and maintains individual claims files and other vital records regarding the filing, status and resolution of accident liability and subrogation claims. Other files as needed.
  • Prepares statistical summaries of departmental activities on a monthly basis and other general analyses as required.
  • Reconciles the department’s working fund for the claims settlements.
  • Distribute of departmental mail and answer p phone calls/e-mail from internal and external people. Provides assistance on inquires and concerns.
  • Assist in departmental programs/projects as necessary.
  • Makes photocopies, faxes documents, files and performs other clerical functions.
  • Daily retrieving, screening, reproducing and editing bus media footage.
  • Assist with organization, filing and upkeep of media files and archives.
  • Work cooperatively with all levels of personnel.
  • Attends in-service training, seminars or other opportunities for professional development as made available by the Agency. Provides training for Agency personnel as required. Actively participates in staff meetings, trainings, etc.
  • Has thorough working knowledge of Agency policies and procedures.
  • Other duties and responsibilities as assigned.

PHYSICAL REQUIREMENTS & WORKING CONDITIONS:

The following are essential functions of video retrieval tasks:

  • The ability to work in varying inside and outside temperatures which may include extreme heat or extreme cold.
  • The ability to stoop, bend, kneel and stand for extended periods of time.
  • The ability to perform tasks that require manual dexterity.
  • The ability to perform administrative tasks in a sedentary position with the occasional need to lift up to twenty (20) pounds.

Qualifications

  • Minimum possession of a High School Diploma/GED.
  • Two (2) years of varied administrative experience is required. Specific experience with claims administration is highly desirable.
  • Must have acceptable credit rating necessary for bonding.
  • Valid drivers’ license and the ability to be insured by our insurance company throughout employment. Individual may be required to travel in the course of their daily work.
  • Proficient in software programs (word processing, spreadsheet and database), Internet applications and utilization of all relevant office equipment. The ability to learn quickly internal software programs. Must be able to handle confidential information.
  • The ability to prioritize projects and have excellent communication (especially verbal), interpersonal skills, tact and diplomacy. Ability to work both independently and in a team environment.
  • Good work record and ability to learn procedures that require accuracy, timeliness and precision are essential.
