      Position Summary
      Full-time position available on or after November 1, 2022 in the Office of the President.



      Under general supervision, the Presidential Aide will autonomously perform a full range of complex administrative work assignments involving the use of effective judgment and discretion in support of the President. This position requires the ability to work independently to set priorities, consideration of availability versus a real need for meeting and knowing when to refer meetings to other administrators; assist with gathering background information for meetings for use by the President; and staying informed of applicable University policies, procedures and regulations that may have an impact on the President’s Office. The Presidential Aide serves as the primary coordinator for travel for the President, President’s spouse, others associated with the President’s Office, and search candidates, which may require availability after work hours and weekends; this responsibility includes developing complex itineraries, booking flights, reserving hotels while anticipating the President’s preferences, work schedule, and time zones. This position requires extensive knowledge and ability to interpret campus and CSU travel policies and procedures. The Presidential Aide will establish priorities and track deadlines to ensure complex trips are coordinated efficiently to achieve the maximum cost-savings for the university.


      Job Duties

      Duties include but are not limited to:
      • Maintains the President’s calendar and schedule meetings for the President.
      • Serves as back-up to the Director of Administrative Operations in initiating and composing correspondence individually or on behalf of the President, ensuring content and grammatical accuracy and proper formats are utilized; and interacts and engages with all levels of administrators, constituents, and educators, including Chancellor’s Office staff, alumni, community representatives, donors, faculty, government and legislative officials, parents, current and prospective students.
      • Schedules and coordinates President’s office meetings and invited appearances at campus and community sponsored events.
      • Works closely with the Director of Administrative Operations to keep the President informed of meetings, appointments, appearances, and events; ensures scheduling needs and preferences are met; and implement and monitor long-range planning for the President’s schedule.
      • Works collaboratively with University Advancement to schedule Presidential meetings and events with donors/prospective donors.
      • Reviews and assesses the urgency/priority of all requests for appointments, meetings, travel and special invitations judging the use of the President’s time based upon strategic priorities and schedule appointments accordingly; resolves all scheduling conflicts.
      • Receives and responds to emails requesting an appointment with the President.
      • Assists with disseminating information relating to meetings, as needed.
      • Initiates and coordinates arrangements for travel, off-site meetings, and other activities.
      • Schedules and secures President’s travel plans (flights, hotels, transportation, donor/partnership meetings, and registration fees).
      • Prepares and submits travel requests and travel claims for President.
      • Collaborates with on-campus and off-campus constituencies to secure event briefings for President.
      • Maintains a proactive method for ensuring that all appropriate background and briefing material is prepared for meetings, functions, remarks and speeches well in advance of the scheduled event.
      • Distributes the CSU Board of Trustees or the Chancellor’s Senior Leadership Council agenda and meeting materials to the President and ensures materials are methodically organized prior to each meeting.
      • Works collaboratively with the Director of Administrative Operations to ensure the smooth operation of the President’s Office.
      • Directs and supervises the work of student assistants.
      • Assists with tracking multiple deadlines for reports due to the Office of the Chancellor and other agencies.
      • Maintains confidentiality while handling matters of a highly sensitive and confidential nature.
      • Drafts correspondence and documents. Edits documents and correspondence for content, grammar, punctuation and spelling errors.
      • Conducts research and assists with the preparation of various reports for the President.
      • Coordinates the Retention, Promotion and Tenure (RPT) process, working with President to establish deadlines to complete as noted in applicable collective bargaining agreement.
      • Assists with maintenance of confidential and open office files. Must be able to easily access documents and files as requested by the President or Director of Administrative Operations.
      • Researches previous email/correspondence/reports for reference information as requested by the President.
      • Represents the Office of the President in campus meetings or committees as requested.
      • Serves as lead to President’s Office staff ensuring the processing and tracking of financial payments is completed in a timely manner; coordinates President’s Office acquisition of resources, supplies and equipment, and maintenance.
      • Oversee property inventories, archives, and other administrative operations of the office.
      • Serves as the primary contact for commencement activities for the Office of the President; attends all meetings and takes initiative on immediate action items.
      • Monitors CSU system-wide policy and ensures President’s Delegations of Authority are maintained and updated as needed.
      • Collaborates with on-campus and off-campus constituencies regarding event logistics.
      • Assists President with day-to-day technology items.
      • Manages computer technology and communication systems as appropriate for the office; coordinates with technological experts on campus, researches and makes recommendations for upgrading systems.
      • Oversees President’s conference room technology.
      • Other duties as assigned.

      Minimum Qualifications

      Five years of progressively responsible work experience as a secretary, executive secretary, or staff assistant which has demonstrated the knowledge and abilities listed OR a combination of education and experience which demonstrates that the applicant has acquired the knowledge and abilities listed.

      Preferred Qualifications


      • A master’s degree from an accredited college or university.
      • Demonstrated experience in an executive-level support role in higher education, preferably supporting a President, Vice President, Associate Vice President, Dean or Associate Dean.
      • Demonstrated ability to maintain confidential information, exercise good judgment to handle effectively a broad range of interpersonal contacts, including those at all levels of the organization and those sensitive in nature.
      • Demonstrated ability to effectively interpret, organize, communicate and present information and ideas in oral, written, and presentation form. (i.e.; compiling data, preparing ad hoc reports)
      • Experience in general bookkeeping and in monitoring office budgets and tracking expenses from several funding sources.
      • Demonstrated proofreading and editing skills.
      • Demonstrated competence in maintaining office appointment calendars and electronic scheduling.
      • Experience in scheduling and organizing meetings with diverse groups, organizations, and individuals.
      • Demonstrated ability to be well organized and detail-oriented and to effectively coordinate a number of different tasks simultaneously, while meeting critical deadlines.
      • Ability to anticipate, foresee and predict the work demands, needs, and requirements of the President.

      Knowledge, Skills, Abilities


      • Thorough knowledge of modern equipment, office practices and procedures and business arithmetic, grammar, spelling, and punctuation.
      • Thorough knowledge of principles and techniques of organization, administration and management as well as organizational structure, functions, and activities of higher education.
      • Ability to manage multiple assignments; prioritize and set deadlines, complete projects on schedule.
      • Ability to identify appropriate applications of a wide variety of complex written policies and procedures.
      • Ability to apply a high degree of judgment, discretion and initiative in coordinating activities associated with the President’s Office such as meetings, projects, executive personnel searches.
      • Ability to reply to inquiries; gather information, conduct research and prepare reports, letters and policy statements.
      • Ability to handle highly confidential and sensitive matters.
      • Ability to communicate with the President appropriately; use tact and good judgment in responding to requests for information and/or interpretation of policies or procedures.
      • Ability to establish and maintain effective working relationships with high ranking campus administrators, community leaders, and the public.
      • Ability to manage the President’s appointment calendar, maintain the budget.
      • Ability to coordinate and evaluate the work of clerical and/or secretarial personnel assigned to the President’s Office.
      • Ability to read and write at a level appropriate to the position.

      Salary Range

      Anticipated salary will be $3,664 – $4,580 per month plus excellent paid benefits. Salary will depend on the qualifications of the successful finalist.
