About the Position
The Probation Administration Assistant uses their administrative and organizational skills to provide administrative support to the Adult Probation or Juvenile Probation Departments. This posting will be used to fill multiple positions in both the Adult and Juvenile Probation departments.
You will work with a team of highly committed professionals who envision a future where all clients are connected to the community, contributing members of society, and accountable for their behavior.
Standard Judicial Branch business hours are Monday through Friday from 8 am to 5 pm.
Judicial Branch facilities are located throughout Maricopa County. The position may be reassigned to other locations.

Education:
  • High School Diploma or GED
Experience:
  • Two (2) years of general clerical experience
OR
Combined education and experience qualifications:
  • Post-secondary education may substitute for the experience on a year-for-year basis
Other Requirements:
  • Some positions must possess a valid Arizona Driver’s License at the time of hire
Our Preferred Candidate has:
  • Bilingual in Spanish/English
  • Willingness to travel and provide coverage at other area offices
Knowledge, skills, and abilities:
Knowledge of:
  • Administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology
  • Principles and processes for providing customer and personal services including customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction
Skill in:
  • Office 365 (Word, Excel, Outlook, OneDrive, and SharePoint)
  • Typing with minimal errors
  • Operation of office equipment including, but not limited to, fax machine, printer/copier, computer terminals, and multi-line telephone systems
  • Providing support for services provided to other departments and members of the public
  • Using effective time management skills to handle multiple tasks at one time with numerous interruptions
Ability to:
  • Accurately prepare and maintain records, files, and reports
  • Operate computer equipment and use software programs to complete required paperwork, reports, email correspondence, and telephone communication, conduct research on the Internet, and perform other administrative tasks
  • Learn department-specific software
  • Adjust to changing circumstances, remain flexible, take on other roles when necessary, and adapt to changing priorities as the situation requires
  • Provide customers with clear explanations and directions verbally or in writing
  • Respond to customer inquiries and requests in a timely and complete manner and resolve issues at the lowest organizational level
  • Interact professionally with the public, detainees, probationers, probation staff, court staff, stakeholders, and other third-party agencies
  • Prioritize tasks and projects according to the urgency
  • Multi-task and cope with high volume and time-critical work environment
  • Establish and maintain working relationships with others
  • Make sound decisions following regulations, policies, and procedures
Essential Job Tasks:
(This is not an all-inclusive list of all job duties that may be required; employees will be required to perform other related duties as assigned.)
  • Provides administrative support to the department by compiling and processing paperwork, distributing information, and scheduling appointments
  • Responds to inquiries regarding court cases; answers questions from the public and Judicial Branch staff
  • Performs a variety of case management functions, including reviewing case status reports and researching cases
  • Operates copier, printer, and fax machines as needed
  • Maintains files and coordinates file storage system
  • May manage a reception desk to include answering calls, greeting customers, and assisting clients with the completion of paperwork
  • May provide notary services - training and notary fees will be provided by the Judicial Branch
  • Completes special projects as assigned

Working conditions:
Office setting. While performing the duties of this job, the employee is regularly required to speak clearly and hear; see details of objects that are less than a few feet away; sit for long periods of time; stand, walk, and use hands to finger handle or feel; reach with hands and arms; and occasionally push, pull or lift up to 20 pounds.
