Overview:
The Project Coordinator will provide project and administrative support to the Department Director and Director of Business Operations. This position is responsible for coordinating projects, administrative services and administrative personnel. The incumbent will also coordinate various Institute systems and processes; have reporting responsibilities; manipulate data and maintain databases; and support the completion of grant applications and contracts.
Responsibilities:
  • Provide direct project and administrative support to the Department Director, duties include (but not limited to) assisting with special projects; attending meetings, taking and disseminating minutes; maintaining schedule of the Department Director and coordinating all internal and external meetings, teleconferences, appointments.
  • Provide supervision to assigned administrative staff, duties include but are not limited, to setting weekly priorities, monitoring work, approving time-off requests, assigning and overseeing special projects, providing guidance and training as needed, and performance management.
  • Develop and maintain electronic databases and other systems to collect data and create reports for funding agencies and other entities as required.
  • Maintain job description database and staff files (tracking credentials, continuing education, internal staff education and competencies, and compliance with Institute policy for purposes of program accreditation).
  • Complete required grant application paperwork including sub-contract and consulting agreements when necessary.
  • Manage the onboarding process for new hires, transferring employees, and trainees.
  • Processes personnel change transactions in Workspace to include the input and adjustment of employee data, open new job requisitions, and track transaction status.
  • Manage monthly time and effort report.
  • Distribute and process bi-monthly “Productivity Incentive Payments” and distribute monthly productivity gift cards.
  • Maintain gift card inventory and report all gift card distributions to the Institute’s HR Payroll team/Finance department.
  • Responsible for processing departmental invoices and purchase orders.
Qualifications:
EDUCATION:

BA/BS in Business or related discipline required.

EXPERIENCE:

  • Five years of administrative experience is required, preferably in a clinical or medical setting.
  • One year of supervisory experience managing the work of administrative support staff is required.
