Benthic is looking to add a highly diligent & meticulous Proposal Specialist to the team. Reporting to the Tendering Manager, the role of the Proposal Specialist is to provide support in the preparation and submission of all existing and potential tenders using accepted technical methodologies and commercial bid estimating/pricing model tools.
The successful candidate will be based in the Houston area.
Duties
- Log all invitations to tender (ITT) and requests for quotation (RFQ) within the businesses database
- Work and coordinate with tendering team personnel
- Prepare cost estimates using the approved MS Excel bid estimating tool, including sourcing external costs as required
- Review commercial and technical clarifications to be sent to client
- Facilitate bid planning, status, and strategy meetings as required
- Ultimately coordinate internal resources to ensure inputs from relevant functional areas are received in a timely manner that satisfies the client's tender submission deadline(s)
- Review tender submission schedule including each contributor's deadline
- Review input from internal contributors to the proposal (e.g. technical and commercial clarifications and exceptions)
- Create and submit RFQ's to subcontractors and analyze responses (vessel charter quotes from vessel owners and brokers, hydrographic surveyors, laboratories, etc.)
- Review proposal material to ensure proposal integrity
- Physical compilation and assembly of the final tender package
- Ensure tenders are complete, well presented and ready to be submitted by the submission deadline indicated in the RFP with all necessary approvals in place both internally and at Parent Group Level
- Organize post submission clarification process of tender negotiations and revisions to tender following changes to client's requirements
- Issue weekly bids status reports from data residing on company's customer relationship management system
- Participate in business development events (sales calls, lunch & learns, trade shows, client meetings, etc.)
Required
- Degree qualified in Engineering or Business Studies discipline or relevant previous experience in a similar environment, with commercial, proposal and/or project management focus
- Preferred experience in a similar business development proposal coordinator/specialist role
- Experience within an engineering / technical / subsea / hydrographic survey company a plus
- Knowledge of industry available customer relationship management systems, desirable
- Proficiency in Microsoft Office, including Word, Excel, Outlook, Project (or similar) and PowerPoint
- Excellent numeracy, written and verbal communication skills
- Commercially astute with an acute attention to detail
- Ability to manage and prioritize multiple tasks and work within deadlines
- Ability to work both independently and within teams
- Competency in business and relationship development with both external and internal clients
- Ability to grasp technical / engineering concepts
