POSITION SUMMARY
The Receptionist/Administrative Assistant is responsible for the front desk operations which includes customer service, badge distribution, incoming/outgoing mail, and answering the switchboard. In addition, the Receptionist/Administrative Assistant provides administrative support to the HR team and various other departments in the Company. The Receptionist/Administrative Assistant reports to the Director of Human Resources.

JOB FUNCTIONS
Include the following, but other duties may be assigned.
  • Operate 12-line switchboards with approx. 200 extensions.
  • Route calls to correct person, department, or voicemail.
  • Greets and registers visitors and informs employees of visitor’s arrival.
  • Coordinates badge collection and distribution process.
  • Send faxes and sort and distribute incoming faxes.
  • Gather outgoing invoices and/or credit memos and stuff envelopes.
  • Post outgoing mail.
  • Sign for incoming packages (Airborne, FedEx, etc.).
  • Prepare overnight letters (UPS, FedEx, etc.).
  • Open, sort, and distribute incoming mail.
  • Responsible for adding postage to the meter.
  • Responsible for tracking the company vehicle usage and monitoring the keys.
  • Prepare weekly envelopes to be mailed to other Bauer locations.
  • Schedule meetings and interviews.
  • Responsible for birthday cards and birthday gift distribution.
  • Order supplies for reception area.
  • Responsible for monitoring the front entrance and report any maintenance issues.
  • Responsible for completing projects for the Human Resources Department.
  • Completes filing for the Human Resources Department.
  • Provide administrative support to other Bauer departments as needed.
  • Heavy customer service interface with employees and vendors.
  • Perform additional duties and responsibilities as required.

ESSENTIAL SKILLS AND EXPERIENCE
  • Must have a high school diploma or equivalent.
  • At least two years office and administrative experience.
  • Demonstrated experience with a multi-line phone system, fax machine, copier, and mail meter.
  • Knowledge of Microsoft applications.
  • Must possess a friendly and positive demeanor in order to provide a high level of customer service (in-person and on the phone).
  • Must be detail oriented and able to multitask and prioritize demands.
  • Ability to work under pressure and independently with minimal supervision.
  • Ability to communicate information clearly and effectively; maintain confidentiality.
  • Excellent verbal and written communication skills required. Must be able to effectively communicate with all levels of employees and management.

PHYSICAL DEMANDS AND WORK ENVIRONMENT
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to sit, stand, walk, use of eyes for close vision, use hands, fingers, grasp, handle, reach, listen, talk and may need to talk on the telephone while taking notes. Occasionally the employee must lift and/or move up to 30 pounds or ask for assistance.

Normal working schedule is Monday thru Friday. Core business hours are from 8am to 5pm. The noise levels in some manufacturing facilities frequently may exceed the normal dBA. The employee is required to wear eye protection when walking through the plant.
