Summary:

The receptionist is first to greet and meet the public in-person or by telephone, maintains excellent records, keeps inventory of office supplies and monitors office equipment, performs general clerical assignments, and provides daily office support for the daily operations of the Aha Macav Housing Entity.


Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Greets all incoming guests; tenants; vendors.
  • Answers multi-line telephone, transfers calls and or takes messages to be forwarded to appropriate staff.
  • Answers telephone with professional greeting and respond to customers inquiries in a polite and timely manner.
  • Keeps log of all incoming telephone calls and maintains phone log file.
  • Checks mail daily at the Post Office and Tribal Office.
  • Sorts U.S. and interoffice mail for distribution to appropriate staff.
  • Keeps log of all incoming and outgoing mail.
  • Straightens stock supplies in order to keep them orderly and easily accessible.
  • Makes copies, fax and files materials in order to provide office support.
  • Check supplies and reorders when necessary.
  • Responsibility of opening and closing the office and keeping reception area clean.
  • Organize incoming receipts and billing statements for finance department.
  • Assist Executive Director in maintaining important documents.
  • Have excellent organizational skills to include keeping accurate records to find important information quickly.
  • Team player.
  • Monitor voicemails, and website throughout the day.
  • Verbal and written communication skills to interact clearly with customers, tenants, vendors and other employees.
  • Time management skills to prioritize and complete a wide range of tasks throughout the day.
  • Patience and listening skills to respond appropriately to all visitors.
  • Interpersonal skills to create a pleasant experience for all visitors.

Competency:

Must have basic knowledge of a receptionist.

Qualifications:

  • Must have a valid driver’s license and be insurable by the Tribe’s auto insurance carrier.
  • Must have a High school diploma or General Equivalent Diploma.
  • Must acknowledge and agree to maintain a Drug-Free workplace as a condition of employment.
  • Should have Interpersonal Communication skills to receive direction, and exchange information with co-workers and walk-ins.
  • Be able to provide excellent customer service.
  • Should have filing experience and able to operate a computer using standard office practices.

Education/Experience:

Must have a High school diploma or General Equivalent Diploma.

Language Ability:

Must speak English and be able to communicate clearly.

Math Ability:

Basic math skills

Reasoning Ability:

Must be able to reason and use logic.

Computer Skills:

Microsoft Word and Excel would be a plus but not mandatory.

Typing Skills

Type at least 35 WPM

Equipment, Machinery, Tools and Material Utilization: Copy/fax machine and multi-line telephone.

Certificates and Licenses: Must have a valid driver’s license and be insurable by the Tribe’s auto insurance carrier.

Supervisory Responsibilities: None

Work Environment: Professional

Physical Demands: Able to lift up to twenty (20) pounds.
