Team Overview
This Receptionist role will work from the Stonewain Systems office in New Jersey and combines the Receptionist responsibilities with general office management. Stonewain is an EquiLend Company and we are now searching for a Part-Time Receptionist at our Berkeley Heights, New Jersey office to report in three days per week. The Receptionist will be responsible for creating a supportive and comfortable atmosphere by welcoming visitors and employees to the office and supporting all employee-facing services.

Responsibilities:

  • Greet clients, guests, and employees
  • Add visitors to the building security manifest
  • Manage day-to-day office operations; ordering office supplies and maintaining stocked inventory with minimal supervision
  • Receive, sort, and route mail; maintain and route publications
  • Receive and mail out packages and deliveries
  • Maintain printers and other office equipment, assist users, send faxes, and retrieve and route incoming faxes
  • Liaise with the administrative team and coordinate with assistants from other offices
  • Help coordinate meeting logistics in collaboration with internal stakeholders; manage calendar (MS Outlook) for all conference rooms
  • Assist Executive Assistant with additional office duties
  • Manage events & celebrations for internal employees
  • Cover responsibilities of Executive Assistant as necessary
  • Should take an interest in and support company initiatives and attend and participate in administrative meetings

Requirements:

  • Previous experience in a Front Desk/Administrative office based role
  • Available to work from our Berkeley Heights, NJ, office on a consistent schedule of (3) business days per week
  • Knowledge in Microsoft Excel, Word, Outlook and PowerPoint, and Adobe Acrobat
  • Excellent verbal and written communication skills - ability to communicate effectively and professionally with staff, management, clients etc.
  • Must possess strong interpersonal skills, be detail oriented and have strong organization and time management skills
