Summary

The Records Management Specialist is within the Support Services Operations department. The Specialist is responsible for managing the documents of Wilson-McShane and creating, compiling, organizing, and storing the documentation of various processes. The Specialist works with Operations leadership to develop strategies to ensure the integrity of records and the metadata over the lifetime of records both physical and digital to comply with Federal, State, and Local regulations. The Specialist will work collaboratively with all levels of Wilson-McShane staff and will report to the Director of Print Operations and Support Services.

Essential duties and responsibilities include the following:
  • Assist with the records storage plan/program, including short and long-term housing of physical records and digital information.
  • Maintain the retention policy on the disposal of records no longer required for operational reasons.
  • Create and maintain metadata and folder structure incorporated in electronic document management systems and create automated records filing process in various systems.
  • Perform annual reviews/updates on the Records Retention Schedules.
  • Coordinate access to records internally and outside the organization.
  • Provide records management training, awareness, and guidance to all relevant employees.
  • Other duties or projects may be assigned.

Required Experience and Qualifications:

  • 1 - 3 years’ experience in Records Management and/or Compliance.
  • Proficient with Microsoft Office Products and records management software.
  • Travel to other WMC locations may be necessary on occasion.
Preferred Experience and Qualifications:
  • Records management certification(s)
  • Bachelor's degree(s).
  • Contract negotiations.
  • Minimum of 3 years of recent, relevant experience in a records management program.
