Regional Maintenance Director, Region 9 - Erie, PA

The Regional Maintenance Director of Region 9 takes on a team approach to successfully manage and support the maintenance teams at multiple properties within specified region or. Maintains a fast-paced schedule which may include monthly overnight travel, for a week at a time. Responsible for implementing and monitoring Preventative Maintenance Schedules for all components of the developments to include building equipment (boilers, HVAC units, hot water tanks, fire and life safety systems, etc.), maintenance tools, and equipment. Responsible for the overall maintenance operations of assigned communities. Implementation and tracking of inventory control systems. Provides technical and troubleshooting assistance to Maintenance Supervisor’s within the assigned portfolio.

Supervision Received: Reports directly to the Regional Vice President and indirectly to the Vice President of Operations.
Supervision Exercised: Supervises direct reports as assigned; including the Assistant Regional Maintenance Director

Essential Functions of the Position:

  • Fosters a positive, active and collaborative relationship with residents, communities and associated agencies. Promote positive Beacon culture
  • Enforces and adheres to company policies, rules and regulations.
  • Supervises maintenance employees and contractors at assigned communities.
  • Visits and inspects assigned properties on a monthly basis using the Maintenance Compliance Check list.
  • Joins and assists the team with the annual BRM property audits, REAC’s/NSPIRE, agency inspections, etc.
  • Works with the operations team to create and conduct monthly training for community staff.
  • Organizes training opportunities for maintenance staff
  • Coordinates new staff training and completion of orientation check list for Maintenance Supervisors.
  • Schedule formal maintenance budget training, 5 and 20 capital plans with Maintenance Supervisors
  • Facilitate Yardi tablet training.
  • Conducts safety audits (Take over some assignments).
  • Complete formal onboarding of direct reports
  • Assists team members to implement company objectives at the community level.
  • Troubleshoots problems with scheduling and daily operations (service orders, repaints/recarpets, apartment turnovers, etc.) at assigned communities. Will be required to assist in the implementation of schedules and policies regarding the daily operations at the request of the assigned property Vice President and V.P. of Operations.
  • Assists V. P. of Operations in implementing energy and utility savings initiatives.
  • Assists V. P. of Operations in implementing time management and efficiency standards.
  • Assists with property take over checklist and support.
  • Reviews payroll issues as requested by manager(s)
  • Coordinate disaster recovery efforts at assigned properties
  • Reviews and tracks progress of service orders at assigned communities. Responsible for training team members in work order management and the efficient use of the Yardi computer system.
  • Prepares requisitions and contracts for maintenance equipment, supplies and services. Responsible for training team members in Budgets, and the efficient use of the Yardi computer system
  • Prepares and maintains maintenance and capital improvement budgets.
  • Manage capital projects – preparation of scope of work, bid solicitation, capital contract and project life cycle
  • Assist with and trains team members in conducting apartment and property inspections. Will be required to complete inspections at multi-property locations as requested by V. P. of Operations.
  • Monitors completion of preventive maintenance schedules at multi-property locations as requested by V. P. of Operations.
  • Oversees property-related snow removal. Assist with snow coverage as needed on emergency basis.
  • Maintains decorating replacements schedules, oversees, and schedules unit and common area painting. Will be required to monitor the completion of these items on multi-property locations as requested by the Regional Maintenance Director Regional Vice President or the V. P. of Operations.
  • Works patiently, professionally, and cooperatively with residents and staff. Preserves and respects the confidentiality of resident information.
  • Schedules and coordinates exterior siding repairs, emergency roof repairs, and minor repairs to HVAC systems. Ensures that all major components of the home-based property are covered by repair contracts where needed. Will be required to complete and/or monitor these same items on multi-property locations.
  • Works with V. P. of Operations and operations team to obtain bulk pricing of common supplies and/or services (landscaping, paint, carpet, maintenance parts, etc.) from national vendors for all properties within the assigned portfolio.
  • Negotiates and reviews all maintenance service and/or capital improvement project contracts as requested by V. P. of Operations.
  • Ensures each Maintenance Supervisor is familiar and has information related to the applicable codes in the city, county, or state where the property is ted.
  • Monitors OSHA compliance on the home-based property and multi property locations. Responsible for making sure team members are maintaining a strict schedule of monthly safety trainings for their staff.
  • Works with takeover team on new acquisition and new construction startups.
  • Attends construction job meetings and assist team with product choices and system designs.
  • Assists with interview process for Maintenance Supervisor’s positions.
  • Assists with recruiting, interviewing, and promoting maintenance staff.
  • Assists Supervisors with any employee issues as needed.
  • Orchestrates periodic maintenance team meetings within the region
  • Assists with developing and executing team building events within the region
Minimum Qualifications
Education: High School Diploma or GED required. Bachelor’s Degree or Certificate in facilities management, engineering, architecture or similar discipline is preferred. Proficient with Excel, Yardi and other systems as required.

Experience: Five years of related property maintenance or construction supervision work experience. Designated certifications where required.

Qualifications and Skills: Ability to manage and supervise maintenance staff. Ability to manage multi-priorities and multi-tasks for portfolio properties. Must possess analytical skills along with neat and orderly work habits. Maintain a valid driver’s license. Possess adequate knowledge of plumbing, electrical, and heating systems. Able to maintain a fast-paced schedule which may include monthly overnight travel for up to a week at a time. Must be available to support the team and provide on-call for supervisory support and assistance 24 hours per day, seven days a week (excluding vacations or personal emergencies). Ability to handle emergency situations and pressure due to complexity and time sensitivity. Ability to be an active team member within the Company. Ability to preserve and respect resident and applicant confidentiality.

Physical Capabilities: Candidate must be able to life between 50 pounds, climb and work on ladders, work with arms raised overhead, stand/walk for long periods of time, climb stairs, bend at waist and knees to lift boxes, appliances, furniture, shovel snow, etc.
