Overview: This position is Part-Time, Monday - Fridays, 3 hours/days (10 AM-1PM). The Coordinator will be stationed at the Kensington Office and is responsible to oversee the following areas: shipping and receiving, stocking office supplies on all floors, mail receipt and distribution, inter-site deliveries, and ordering appropriate supplies for the Kensington Office. Some facilities coordination may be required. This position ideally has experience in managing systems.

ESSENTIAL FUNCTIONS

  • Monitor office supplies and some patient hygiene supplies including regular inventory, creating orders, receiving shipments, stocking cabinets and closets on all floors.
  • Receive supply requests from staff, and send consolidated supply order to Operations Coordinator in a timely fashion.
  • Receive delivery of office, janitorial, and patient hygiene supply orders. Check packing list to ensure that all supplies are received. Email Operations Coordinator if problems arise.
  • Restock office, janitorial, and patient hygiene supplies into supply closets on each floor for staff use. Unpack and flatten boxes for cleaning crew to remove.
  • Restock copy paper as needed near copiers on all floors and in storage cabinets.
  • Keep Shipping & Receiving room, storage and closets in good order and maintain stock of supplies kept in each room.
  • Stock staff kitchenette with dish detergent, sponges, paper towels and hand soap, as needed.
  • Report all facility issues, such as lights out, leaking faucets, broken items
  • Communicate regularly with Maintenance if stocked paper goods (toilet tissue, Kleenex, paper towels Lg Center Pull, Sm Center Pull, and C-fold) are running low
  • Coordinate GRM pick-ups
  • Receive Clinical, Laboratory, Dispensary and Dental Shipments. See Package Receipt Procedures.
  • Contact the proper internal persons responsible for each of these supply categories.
  • Distribute shipments of boxes to proper venues throughout the clinic.
  • Distribution and Stamping of Mail at the K&A site.
  • Ensure that all office mail is distributed to the proper EHC staff member’s mail boxes on a daily basis.
  • Postage of outgoing mail, including certified mail. If UPS, FedEx, UPSP Priority mail, try to deliver directly or notify staff members of delivery.
  • Assign new mailboxes to additional staff or departments as needed.
  • Monitor Interoffice Deliveries (courier)
  • Maintain office supplies on each floor (copy paper, pens, envelopes, etc)
  • Storage and Shredding of HIPAA Documents.
  • Coordinate the pick-up of full shredding totes for shredding and replacement with empty ones with off-site storage company (GRM).


Other Essential Functions

  • Offer support, hope and comfort to patients and staff through excellent listening skills, prayer and scripture.
  • Manage/distribute Bibles and Christian literature, re-ordering when needed.
  • Make recommendations for Christian resources that would be of value to patients and staff. Discuss recommendations with EHC chaplain.
  • Order Reach Out and Read books for all EHC sites
  • Maintain/Distribute Reach Out and Read supplies for K&A site
  • Maintain/Distribute used Children’s Books


EDUCATION, KNOWLEDGE, SKILLS, AND QUALIFICATIONS

High School diploma required

Demonstrated ability to handle many details and multiple priorities. Must show ability to organize, process, and verify details.

Knowledge of community resources, churches, and community organizations

Computer experience with Word, Excel, Publisher

Solid character references, as well as no criminal record.
