Position Description

The Staff Assistant 1 will provide basic reception, clerical, and operational support duties for the office of Emergency Management. The Staff Assistant 1 will work under the general supervision of the Emergency Management Director.

Position Functions

Essential Functions:

  • Provide courteous and professional office reception services to include appropriately answering, screening, and forwarding office phone calls, mail, and emails to Emergency Management and Fire Administration staff members.
  • Scheduling of the Emergency Operations Center rooms, physically configuring room furniture and technology to accommodate the requests of room users, provide for basic hospitality requests of room users, and performing light housekeeping duties in rooms when necessary.
  • Support Emergency Management staff by performing clerical duties such as taking inventory of supplies and equipment, routine maintenance of office equipment, filing, scanning, data entry, making copies, and recording meeting minutes.
  • Assist staff with public education and outreach events such as the YFS Kids Fair and Black Hills Home Show which may occur outside of normal business hours and days.

Qualifications

Experience and/or Education Required:

  • High School Diploma or GED.
  • Familiarity with operating typical office equipment such as multi-line phones and copier/scanners.
  • Proficient with Windows-based computers and office productivity software from vendors such as Microsoft and Adobe with the ability to learn some specialty applications and programs utilized by Emergency Management.

Physical Requirements:

  • Must be able to frequently move about inside the facility to access cabinets and office equipment, and to move tables and chairs.
  • Ability to remain in a stationary position for extended periods of time when staffing a booth or table at public education or special program events.
  • Must be able to operate a computer, multi-line telephone, and other office productivity equipment, such as a copy machine and printer.
  • Ability to lift/move up to 20 frequently and 50 pounds occasionally. Incumbent will be required to frequently move tables and chairs, stack chairs, engage and disengage the locking mechanisms on rolling tables, and position self to connect and disconnect electrical and audio/visual cables underneath tables and in floor boxes.
  • Ability to accurately and quickly express or exchange information accurately and courteously with other, to include in-person interactions and telephone calls.
  • Ability to observe details with sufficient acuity to perform activities such as: preparing and analyzing data and figures, transcribing, and viewing a computer terminal.

Additional Information

Working Environment:

  • Most work is performed in publicly accessible indoor office and meeting room environments where noise and interruptions often occur. The assistant may be requested to work occasional evenings and weekends for special program events.
  • Emergency Management offers flexible scheduling, when possible, to best balance employee desires with the operational demands of the office.
  • The assistant will not be expected or required to respond to emergencies.
  • The assistant will be expected to be available for no less than two (2) weekend public education engagements (the Black Hills Home Show typically in March, the Youth and Family Services (YFS) Kids Fair typically in April).
