Administrative Assistant to the Senior Vice President of Operations and Student Life

LOCATION: Wayland Baptist University (WBU) – Plainview Campus

DEPARTMENT: Office of Senior Vice President of Operations and Student Life

SUPERVISED BY: Senior Vice President of Operations and Student Life

POSITION CLASSIFICATION: Non-Exempt

GENERAL RESPONSIBILITIES: The Administrative Assistant to the Senior Vice President of

Operations and Student Life will report and work directly with the Senior Vice President in the

Administration of assigned duties. When applicable, the Administrative Assistant will supervise student workers.

SPECIFIC TASKS AND DUTIES:

Duties may include:

  • Maintain the schedule for the Senior Vice President and communicate effectively with faculty, staff and students and direct reports of the SVP
  • Answer phone and greet visitors and individuals seeking assistance and help in a professional manner, answers the questions of prospective students, applicants, professors, administrators, and members of the larger Wayland community. Address concerns or send phone calls to appropriate personnel in an effort to completely address the concerns of the callers and visitors.
  • Generates demographic reports pertaining to enrollment, retention, and other student-related figures.
  • Maintains security and strict confidentiality of all office and student information.
  • Issue and follow up on expense requisitions
  • Submit the Senior Vice President’s monthly credit card statement
  • Prepare for and take minutes during quarterly board meetings
  • Plan and execute the Koinonia picnic and the Koinonia Parent Mixer
  • Oversee Student Foundation group and assist as needed with their work
  • Perform necessary duties for Clery Act compliance.
  • Assist with the NAIA End of Year Report
  • Assist with Equity in Athletic Yearly report
  • Assist with Student Exchange and Visitors Information System (SEVIS) compliance
  • Assist with institutional effectiveness planning group summary.
  • Maintain statistical data bases for ongoing retention analysis
  • Monitors student workers employed by the Office of Senior Vice President of Operations and Student Life Assigns them daily and long-term tasks, and supervise their execution of these tasks. Maintains paperwork pertaining to their employment including payroll.
  • Orders and maintains supplies for office and extended student worker teams. Reorder supplies as needed and maintain neatness and orderliness of supply closet against all odds.
  • Utilize multiple computer programs to update, produce, and maintain documents.
  • Assist with registration records, retention data, student grades and other assigned tasks in timely and accurate manner.
  • Receiving, processing, transmitting and/or forwarding electronic documents, as appropriate.
  • Learning and utilizing PowerCampus and its associated programs for finding and updating specific student information.
  • Become proficient on a variety of software programs utilized by the university.

MINIMUM QUALIFICATIONS:

Education:

  • High School Diploma or GED required.
  • College degree preferred.

Experience and Knowledge:

Two (2) years of proven office setting experience.

Skills and Abilities:

  • Two (2) years of proven computer experience.
  • Ability to meet public and work well with others.
  • The position requires someone who is professional, skillful, pleasant and tactful in receiving telephone calls and visitors from a broad range of constituencies. Ability to work in a dynamic office atmosphere is necessary.
  • Outstanding communication skills, both written and oral.
  • Must possess experience and skills with computer programs such as Word, Excel, Access and PowerPoint experience.
  • Meticulous attention to detail.
  • Ability to learn and retain vast amounts of information from a wide variety of sources.
  • Ability to be a positive force in the office by portraying a positive attitude toward other office personnel, in phone conversation and in students, family, faculty and staff members.
  • Punctuality, dependability, integrity, honesty and loyalty in the performance of duties of the position.
  • The ability to establish and maintain effective working relationships, anticipate problems and use sound judgment and tact in handling confidential matters is a must.
  • A commitment to Christian Higher Education and in agreement with the purposes and philosophy of Christian Higher Education as promoted by the Baptist General Convention of Texas generally, and Wayland Baptist University particularly.

CONDITIONS OF EMPLOYMENT:

Employment is subject to an introductory period to monitor employee performance. If hired, the prospective employee must present documentation within three (3) days of hire date to establish their identity and employment eligibility as required by Immigration and Naturalization Services. Employee must be able to travel. Must be able to operate a licensed motor vehicle, have access to a dependable motor vehicle, and possess a valid state driver’s license. Must have and maintain a satisfactory driver’s record.
