Executive Assistant Position Overview:

The Executive Assistant will perform a variety of administrative tasks and support our company’s managing partner in line with these key competencies:
  • Timeliness and Accuracy - Ensure that all functions of this role are completed accurately and in a timely manner.
  • Organization - Do everything possible to ensure that the company’s managing partner’s time is used as efficiently and effectively as possible.
  • Communication - Maintain open and clear lines of communication between all teams within our organization, as well as our customers and vendors.
  • Confidentiality - Maintain strict confidentiality when dealing with any information relating to the company, its business and its partners.

Responsibilities:
  • Act as the point of contact among assigned parties, including executives, employees, clients and other external partners
  • Manage information flow in a timely and accurate manner
  • Manage managing partner’s calendars and set up meetings
  • Make travel and accommodation arrangements
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Take notes during meetings
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain confidential documents
  • Assist with general office management as assigned
  • Coordinate various projects as assigned by managing partner
  • Always maintain a polite and professional demeanor
  • Maintain proper communication across all levels of the organization
  • Maintain a positive relationship with vendors and customers
  • Other duties as assigned

Qualifications:

  • Work experience as an Executive Assistant, Personal Assistant or similar role
  • Outstanding organizational and time management skills
  • Discretion and confidentiality
  • Proficient in Excel, Word and Google Sheets
  • Ability to execute multiple projects and assignments with high attention to detail
  • Strong written and verbal communication skills to effectively communicate with colleagues, customers and vendors
  • Files and records maintenance experience
  • Operations and administrative support experience
  • Associate’s degree in business or other related field is a plus
