JOB DESCRIPTION

Essential Job Functions

Duties and Responsibilities

The Executive Assistant will perform administrative tasks and services to support effective and efficient operations of the organization’s executive staff and will greet, assist, and provide information to clients, visitors, and organization guests. Specific Duties and Responsibilities include:

  • Aids Executive Staff with all administrative functions.
  • Handles affairs of the President and Executive Staff as necessary.
  • Uses best judgment and discretion regarding the handling of all inquiries made of the Executive Staff.
  • Composes correspondence for Executive Staff as requested. Reads/reviews all outgoing correspondence prepared for the Executive Staff prior to distribution to ensure quality and accuracy of the message and alignment with company policies/viewpoints.
  • Coordinates the collection information/data and prepares operating reports and presentation materials for monthly business review meetings, Town Hall meetings, Board of Director Meetings, etc., as requested.
  • Maintains and supports the reporting of comprehensive and accurate meeting minutes for the Executive staff’s monthly measurements and other key meetings as required.
  • Initiates/arranges travel schedules, flights, rental cars, and accommodations for the Executive Staff and supports timely submission of associated Concur Expense Reports.
  • Coordinates organizational meetings, luncheons, customer, and employee events, etc. as necessary.
  • Performs various HR administrative and support tasks including job postings, applicant tracking, dissemination of resumes, schedules interviews, and makes applicants travel/accommodation arrangements.
  • Supports Accounting department with A/P invoice coding/printing, A/R invoice mailings, and general document scanning.
  • Supports Quality department with COQ reporting, Supplier Scorecards, and maintenance of Quality manuals.
  • As needed, interprets requests and helps implement Executive Staff directives. Notifies appropriate Executive Staff of important or emergency matters.
  • Supports and maintains Company Procedures/Policies/Work Instructions to assure operating practices, record keeping systems, and forms are accurate and in control.
  • Provides coordination/support/leadership at Company sponsored philanthropic events/activities.
  • Oversees the scheduling of company leased vehicles and all maintenance/repair requirements.
  • Oversees/Supports coordinated ordering of office supplies for the headquarters.
  • Position requires compliance with the Technology Control Plan and the Federal Export and Control Policy established for the Corporation.

REQUIREMENTS

  • Associate’s or bachelor’s degree in communications or business.
  • Extensive Executive Assistant experience.
  • Expert knowledge of Microsoft Office Suite.
  • Excellent verbal and written communication skills.
  • Proven experience in handling a wide range of administrative and executive support tasks.
  • Ability to work independently with little to no supervision.
  • Exceptional accuracy and organization skills.
  • Must be flexible and enjoy the administrative challenges of supporting headquarter functions.
  • Must have proven ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, congenial, and efficient.
  • Must maintain a high level of professionalism and confidentiality.

Job Type: Full-time

Pay: $44,375.50 - $60,000.00 per year

Schedule:

  • 8 hour shift
  • Monday to Friday
