The Operations Assistant will support the Operations Manager in business tasks and projects to sustain and grow services in Missoula County and other communities across Western Montana. This is a half-time (20 hours per week) position with flexible weekday hours in a professional, detail-oriented environment.

We are looking for a reliable, autonomous person with office experience who understands the critical role that administrative support plays in nonprofit sustainability. As Operations Assistant, you will work in partnership with our Operations Manager to fulfill reporting, data entry, community engagement, communications, and other tasks. This is a great fit for someone who loves having variety in their day, and is seeking part-time, flexible hours.

We are hiring a reliable, detail-oriented candidate who is excited about supporting day-to-day operations including data entry, reporting, correspondence, and other fundamental office work. The ideal candidate will excel at working as part of a small team, and effectively managing multiple projects and tasks.

Essential Functions and Responsibilities

Ongoing organizational support includes:

  • Working closely with the operations manager to coordinate daily business operations.
  • Ordering supplies for the clubhouse, events, and programming needs.
  • Answering the phone and directing calls to appropriate staff as needed.
  • Attending to and distributing mail.
  • Participating in meetings and events, as required.
  • Scheduling meetings as required.
  • Maintaining an organizational calendar of events.
  • Coordinating IT support with IT provider.
  • Preparing and filing forms and other documents.
  • Being part of a team that pitches in to maintain our Friends Clubhouse.
  • Other duties and projects as assigned.

Managing financials for the chapter like (but not limited to):

  • Assisting with donation processing and updating donor records.
  • Assisting with copying, scanning, and filing financial documents.
  • Preparing bank reconciliations and credit card reconciliations.
  • Communicating with vendors and area service providers to help our organization make informed fiscal decisions.
  • Obtaining vendor W9s as needed.

Supporting the Development Team with projects like (but not limited to):

  • Handling special event registration and logistics.
  • Conducting basic donor research, information gathering, and data entry.
  • Posting on social media.
  • Coordinating and supporting special events.
  • Preparing donor acknowledgement letters and invoices.

Supporting the Program Team with projects like (but not limited to):

  • Purchasing food and program supplies.
  • Coordinating and supporting events for our children and families.

Human Resources functions like (but not limited to):

  • Posting jobs and scheduling interviews.
  • Assisting with new hire paperwork.
  • Ensuring employee paperwork is completed and properly stored.
  • Promoting and supporting the organizational culture.

The ideal candidate will have:

  • Office experience in a supportive role.
  • Professional communications skills including email, phone, and in-person.
  • Superior scheduling and time management skills.
  • Data entry and database management skills.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Ability to maintain confidentiality, use good judgment, and follow procedures.
  • Ability to travel locally and adapt schedule to meet the organization’s needs (i.e., some evenings and an occasional weekend).
  • Most of all, you’ll play a critical role in helping Western Montana’s most vulnerable children change the trajectories of their lives!
