We are looking for a Payroll Specialist who is an initiative-taker, who is flexible and collaborative, and who creatively problem solves to join our expanding team.

As a payroll specialist you will maintain the integrity and accuracy of our weekly and bi-weekly payrolls, including for our hourly, salaried, commissioned and prevailing wage employees. This position will also provide support the Human Resources function with some administrative duties, including benefit administration and reporting.

Essential Functions of Job:

  • Process payroll each week to ensure accurate and timely disbursements to employees.
  • Manage sensitive and confidential information such as employee demographic data, salary, wage, and other financial information, organizational changes and protect the security of information, data and files.
  • Evaluate and enter personnel related information into the point of record system (Paylocity) to ensure data is accurate and current to maintain historical records.
  • Manage the timekeeping function with employee/manager follow-ups as well as ensuring the systems in place supports company efforts.
  • Reconcile and resolve payroll related discrepancies (e.g. benefit deductions vs. enrollments, withholding vs. W4, salary status, leaves of absence, etc.) for the purpose of ensuring accuracy of records in all systems.
  • Submit accurate and timely payroll reports to external parties when needed such as Certified reports with prevailing wages or garnishment orders.
  • Submit 401k payments timely and ensure payroll records and 401k custodian records match.
  • Maintain electronic and hard copy files of payroll-related documents for the purpose of ensuring compliance with established policies and regulatory guidelines.
  • Prepare and distribute various payroll reports to management level staff.
  • Complete employment verification requests pertaining to current and former employees from other employers, lending institutions, governmental agencies, etc.
  • Respond to Medical Support Withholding Orders.
  • Assist with new hire process, which includes launching and completing tasks in onboarding module, completing I9 E-Verify process, collecting new hire paperwork and presenting orientation when needed.
  • Assist in complete benefit administration from Open Enrollment to Qualifying Events, to benefit reconciliations and internal programs.
  • Administer ACA reporting process within point of record system.
  • Assist with other HR and Administrative responsibilities as assigned.
  • Previous Paylocity and Service Titan Experience is a plus.

Requirements:

Requires a high school diploma or equivalent plus 3-5 years of previous work experience in the field, associates or higher degree preferred, or some combination of education and work experience. Prior experience with payroll processing systems is required. Must be familiar with standard payroll issues, wage and hour laws and tax laws. Familiarity with GL systems and posting payroll activity a plus. Requires a good working knowledge of Excel spreadsheet creation, including formulas and pivot tables. Prevailing wage payroll experience a plus. Familiarity with common HR related topics such as qualifying events, FMLA, disability and workers’ compensation is preferred but not required. This position requires an understanding of the confidential nature of work being performed and recognizes the sensitivity of the position.
