ABOUT THE ROLE

WHAT WE’RE LOOKING FOR:
Project Healthy Minds is rapidly expanding the scope and cadence of events, building an innovative portfolio of signature flagship opportunities and recurring programming that grow the donor pipeline. We are looking for an experienced events team member with a strong logistical background to support this growth and work directly with the Head of Development Partnerships and Events to conceptualize and produce high-quality events. This position involves introducing new and creative ideas to engage supporters, deepen key partnerships and programs, increase brand awareness, and grow revenue. The Development Events Associate will be responsible for line management of stakeholders, programming, planning, and execution of all events.

HOW YOU’LL CONTRIBUTE:
  • Support all the day-to-day management and logistics of experiential activations, donor programming, and signature events
  • Support the Head of Development Partnerships and Events ideate and develop a compelling event slate
  • Maintain the events master calendar for visibility across team members
  • Conduct daily review of all event-related email inboxes, responding to inquiries, registration activity, and inbound partnership interest
  • Research vendors, venues, formats, technology tools, etc.
  • Curate talent’s experience from outreach, satisfaction, and overall partnership
  • Cultivate relationships with a diverse set of vendors and sponsors
  • Write and develop run-of-shows, working across all internal and external teams to organize logistic items related to events including timeline, list of deliverables, load in/load out, third-party vendors, graphics, A/V elements, rentals, staging, etc.
  • Oversees internal staffing plans and related logistics so that each event is properly staffed across roles and departments
  • Demonstrate knowledge of the donor portfolio, VIP guests, honorees, event committee members, etc. and ensure excellent customer experience
  • Help analyze and evaluate areas of growth in the planning processes and make course corrections as needed; codify and communicate best practices
  • Diligently manage budget and catalog invoices, working closely with the CFO to ensure all vendors are paid in a timely manner

  • An events pro – You have a proven track-record with all aspects of event planning and understand how it relates to donor prospecting, cultivation, and stewardship. You have had exposure to a wide-range of event types, including galas, corporate sponsorships, salon dinners, cultivation events, etc. Experience with event technology platforms is a plus.
  • A strong communicator – You have exceptional oral and written communication skills with an ability to engage and inspire a wide range of audiences and a diverse team of stakeholders.   • Flexible – You thrive in a fast-paced environment and identify as a multitasker that can perform under pressure.   • Organized – You love developing effective systems. You are a meticulous planner and can ensure that all the moving parts of an event are clear and categorized. You keep the trains on the track and ensure all stakeholders meet deadlines.
  • Creative – With a pulse on industry and thought leadership trends, you want to innovate in the events space and create cutting-edge donor experiences.
  • Experienced – Bachelor’s degree and at least 2-3 years of experience preferred.

The annual salary for this role is between $55,000 and $65,000.
